Role Overview
This is a high-trust Personal Office role supporting one Principal directly. It is intentionally hybrid: not a conventional corporate Executive Assistant role, not a House Manager role, and not a pure Butler position. The Executive Operations Partner is intended to become the principal’s trusted personal and operational right hand - someone who can move naturally between private matters, travel, lifestyle support, meetings, research, business and Private Office execution, and unexpected situations requiring independent problem-solving.
The core expectation is not that the individual already knows everything. It is that they know how to get almost anything handled correctly: solve directly where appropriate, research what is unfamiliar, identify and coordinate the right specialist when needed, know when a decision genuinely requires the principal, and retain ownership until the matter is complete.
Existing Structure
The Executive Operations Partner reports directly to the principal. The role is not being inserted into a large existing Private Office department. However, the Principal already has support infrastructure, including a House Manager, household staff and separate administrative/support resources capable of handling various local, household or specialist matters. The Executive Operations Partner is not expected to replace or manage that household structure. The individual should know how to coordinate the appropriate people and resources when necessary while remaining accountable for the outcome.
The Private Office function itself is being developed as a long-term central operating structure around the principal, and this role is intended to be a key part of that structure.
What you'll bring
Core Responsibilities
• Act as the Principal's central personal and operational right hand, maintaining context across changing priorities and ensuring matters do not fall through gaps.
• Handle personal, family, lifestyle, concierge and private requests with discretion, service instinct and attention to detail.
• Coordinate international travel and logistics, including changing itineraries, accommodation, transportation, documentation, contingency planning and on-trip problem solving.
• Support meetings when useful: attend, take clear notes or minutes, retain context, track decisions and follow up until actions are closed.
• Research companies, opportunities, services, products, unfamiliar requirements and practical solutions; synthesize findings into clear, decision-ready options.
• Source and coordinate specialists such as lawyers, accountants, technical advisers, recruiters,
immigration/local-processing specialists or other experts when needed, without pretending to be the specialist.
• Coordinate vendors, service providers and other parties; verify outcomes rather than relying only on confirmations.
• Take vague objectives or incomplete instructions and turn them into completed outcomes, using judgment about when to act, research, ask, escalate or bring in help.
• Protect the Principal's time and attention by filtering operational noise, solving what can be solved independently and escalating only what genuinely requires the principal.
• Anticipate needs, prepare backups and resolve problems before they unnecessarily reach the principal.
• Remember relevant preferences, routines and small details over time so the principal does not need to repeatedly reconstruct context.
• Support Private Office projects and administration as the structure develops, including coordination with appropriate existing resources and future staff or specialists.
• Travel internationally with the Principal when required and remain adaptable to changing destinations, schedules and priorities.
• Handle small, inconvenient or unglamorous tasks when that is the fastest or most appropriate way to get the outcome. No task is automatically beneath the role.
Private-Service & Principal-Facing Mindset
The role requires the service instinct found in excellent private service, concierge and Butler environments, but combined with strong operational capability. The individual should understand when to be visible and proactive and when to step back, protect privacy and give the principal space.
• Discretion, confidentiality and strict need-to-know discipline.
• Anticipation, personal attention and sensitivity to preferences.
• Comfort supporting personal and family matters as well as business or operational matters.
• No ego about task type or status.
• Calm, polished conduct under pressure and around private or sensitive situations.
• Ability to learn one Principal deeply rather than treating the role as generic support.
Operational Capability
• Independent problem-solving and sound judgment under ambiguity, incomplete information and time pressure.
• Strong research and sourcing ability, including verification of information and providers.
• End-to-end ownership and follow-through.
• Strong organization across multiple moving priorities, people, locations and time zones.
• Ability to coordinate specialists and resources without transferring the execution burden back to the principal.
• Technology fluency and practical use of modern digital and AI tools were useful, with appropriate confidentiality boundaries.
• Ability to respectfully challenge or raise a concern with evidence, when necessary, then execute the principal’s final decision professionally
Working Style
• Flexible, responsibility- and outcome-oriented rather than a conventional fixed-hours position.
• Workload will vary. Some periods may be quiet; travel, projects or unexpected situations may require greater flexibility, including occasional evening or outside-conventional-hours handling.
• This is not a requirement to be actively working or awake 24/7.
• A weekly rest arrangement will apply. If work or travel is required on the agreed weekly rest day, the intention is to provide a replacement rest day, subject to the final lawful employment arrangement.
• The role is intended as a long-term appointment. Start date will be agreed with the selected candidate based on notice period, relocation, employment arrangements and onboarding.
Candidate Profile
• Excellent professional English is essential, spoken and written. Arabic is required.
• Nationality: Jordan
• Both male and female candidates may be considered. There is a slight preference for a male candidate, but this must not restrict the search or exclude strong female candidates.
• No rigid years-of-experience formula and no requirement to have previously held the exact title. Capability and evidence matter more than title.
• Relevant backgrounds may include Private PA, Personal Assistant, Private Office, Family Office, Butler/private service, concierge/lifestyle, luxury hospitality, executive support, operations, Chief-of-Staff-type work, project management or other backgrounds with strong transferable capability.
• Energy, adaptability, travel readiness and practical ability to operate in a varied Principal-facing role matter more than a rigid age formula.
• A driving license is not mandatory.
• International mobility and practical visa feasibility are relevant and should be assessed case by case based on the candidate's actual travel circumstances rather than nationality stereotypes.
• Relocation to Riyadh is required.
Package - High-Level
• Cash compensation is candidate-dependent and will be negotiated based on demonstrated fit, current or most recent compensation, expectations, relocation requirements and overall package. No fixed salary range is being disclosed at the search stage.
• Private furnished accommodation in Riyadh for the employee.
• Local transportation arrangement provided or arranged depending on the selected candidate's circumstances.
• Medical insurance for the employee; dependent coverage may be discussed depending on the selected candidate and final package.
• Approximately one month of annual leave, with final wording reflected in the employment contract.
• One annual home-country flight for the employee.
• Employer-covered work travel expenses, including flights, accommodation and required ground transportation.
• Visa / iqama / lawful employment arrangements as applicable.
• Standard accommodation, annual flight and relocation support are intended for the employee. Additional family costs are not standard unless specifically agreed in an individual package.
• Compensation may be reviewed over time based on performance, demonstrated value and evolution of scope; no automatic increase is guaranteed.
Confidentiality
The successful candidate will be required to maintain strict confidentiality across personal, family, business and Private Office matters.
Role Philosophy
The Executive Operations Partner is not an assistant who waits for instructions and is not a specialist expected to personally perform every task. The role is the operational layer around the principal: understand what outcome is needed, decide how best to get there, use the right resources, keep context, protect attention and own the matter through completion
